These errors can be found by running the Level Data Validation located under the Miscellaneous tab. A student course exit date must not overlap the a course entry date when a student has made a mid-year course change. The following process will show you how to identify and fix these errors.
From the left side navigation menu, select Level Data Apps > Data Validation

Click on the Miscellaneous Tab and look for errors under the "List of Students Enrolled in More Than One Course in the Same Period on the Same Day"

If errors appear, click on the red error count to make the students your selection.

Click OK to be take back to the PowerSchool Start page

Now that you have your selection of students, review each students Current Year Enrollments by making a Student Selection > Course and Programs > Current Year Enrollments


Tip: When reviewing the students schedule, it is easiest to look at the data by sorting. You can sort the schedule by Entry Date, Exit Date, Term or Period by clicking on the carrots next to the title of the column
Once you have the data sorted, review the students exit and entry dates. If the exit/entry dates for a course enrollment that is in the same period, in the same quarter or semester is overlapping, this is an error and needs to be fixed.
Example: The course Studio Art 1 (P) [5] has an exit date of 8/20/2024. The course Food Services and Hospitality SHS [5] has and entry date of 8/19/2024. These courses are for the same period (period 2) during the same quarter (Q1). This has caused an errors as the one course cannot end after the other course has started.

The school site is going to need to decide when the student's first physical day in their new class was. For the sake of these instructions, we are going to say the student's first day in their new period 2 class was 8/19/2024.
To correct the date overlaps, click Edit on the far right of the course you are changing the date for.

Change the Exit Date on the Course for their Period 2 class that they are no longer in to match the Entry date of their NEW Period 2 Course. Click Submit.

Note: If after clicking Submit you receive the following error message, you must click the Back button. You will need to remove any attendance codes from the students Attendance Overview for the date that you are trying to change. Attendance codes should be noted before removal so that it can be entered back in the students Attendance Overview. Once the attendance has been removed, follow the steps above to try changing the date again.
