Please follow the below steps if you need to re-enroll a student who was transferred out of your school site or if you need to re-enroll a student who has transferred to your school site from another VUSD site.
Locating the Student
Student Search - Start Page > District Student Search
- NEVER SKIP THIS STEP. This step prevents students from being duplicated in PowerSchool and at the state level in CALPADS.
- You can perform the search using the any combination of data in the various fields. (ex: students DOB and Last Name, Students Last and First Name). It is important to understand that there may be multiple students with the same first/last name, be cautious and always double check your information.
- If the student's status is listed as ACTIVE:
- Contact the school listed so that they can transfer out the student and then transfer to your school.
- If the student's status is listed as TRANSFER:
- Contact the school listed to transfer the student to your school. After the transfer is done, re-run your search. Click on the RE-ENROLL link to open the re-enroll student screen.
- If the student's status is listed as PRE-REG:
- And the student is pre-registering for next school year:
- Contact the school listed to "Transfer Pre-Registered Student to Another School".
- Or the student is enrolling for the current school year:
- Contact the school and have them contact the SIS team for assistance.
- If the student is NOT listed:
- Click on Enroll New Student at the bottom of the District Search Page.
Enrolling / Re-Enrolling the Student
Enrolling:
- Complete the following fields:
- Student's Name: Type the students name as per their birth certificate (unless using this field as the student's preferred name).
- Legal Name: This field is only required to be populated if different than the (preferred) name above and should reflect the student birth certificate.
- DOB: Type the students date of birth as per their birth certificate.
- Gender: Type the students gender as per their birth certificate (unless using this field as the student's preferred gender)
- Legal Gender: This field is only required to be populated if different than the (preferred) gender above and should reflect the student birth certificate.
- Student Number: Leave blank. PowerSchool will automatically create and populate a student number.
- Social Security Number: Leave blank. We do not collect this information.
- Phone Number: Can leave blank or can enter the student's main emergency contact number (think, parent/guardian who would clear absences)
- Enrollment Date: This is the date of students first day of attendance. Once this date is set, it cannot be changed without contacting the SIS team.
- Full Time Equivalency: Select the current year FTE
- Grade Level: Select appropriate grade level
- Entry Code: Select appropriate code
- E1 - First School This Year: Only select if this is the first time the student has ever enrolled in school
- E2 - Transfer From a VUSD School: Only select if the student is coming from another VUSD school
- E3 - Transfer from California School: Select if the student is coming from another school located in California
- E4 - Transfer from out of State School: Select if the student is coming from a school located outside of California
- E150 - Mid-year grade change reentry: Usage of this code will be rare. Select this code if you have a student who is making a grade level change AFTER the school year has already started. Please contact SIS team to confirm if usage of this code is appropriate for your situation
- Track: Leave blank.
- District of Residence: Leave blank.
- Fee Exemption Status: Leave blank.
- School: This field is automatically selected for you, based on which school site you are working under if PowerSchool. If the school listed is incorrect, and you have access to multiple school sites, do not proceed any further. Go back to the PowerSchool start page, change your school site from the drop down menu and then start process over.
- California State Information:
- School Entry Date: Enter the date the student started at your site
- Exclude this enrollment from State Reporting: NO (unless otherwise told by SIS Team)
- Exclude this enrollment from CA ADA Reporting: NO (unless otherwise told by SIS Team or Attendance Accounting)
- Enrollment Status Code: This will be automatically populated to (10) Primary enrollment. Leave this as is. If you have questions on when this enrollment status code should be changed, please call the SIS Team.
- Click Submit
Re-Enrolling:
- After clicking on the blue "reenoll" link, complete the following fields:
- Date of re-enrollment: This is the date of students first day of attendance. Once this date is set, it cannot be changed without contacting the SIS team.
- Entry Code: Select appropriate code
- E1 - First School This Year: Only select if this is the first time the student has ever enrolled in school
- E2 - Transfer From a VUSD School: Only select if the student is coming from another VUSD school
- E3 - Transfer from California School: Select if the student is coming from another school located in California
- E4 - Transfer from out of State School: Select if the student is coming from a school located outside of California
- E150 - Mid-year grade change reentry: Usage of this code will be rare. Select this code if you have a student who is making a grade level change AFTER the school year has already started. Please contact SIS team to confirm if usage of this code is appropriate for your situation
- Entry Comment: Important!! Please make sure to put information here regarding where the student came from before re-enrolling at your site, along with your initials. This information is helpful in identifying the student at the state level.
- Full Time Equivalency: Select the current year FTE
- Grade Level: Select appropriate grade level
- Track: Leave blank.
- District of Residence: Leave blank.
- Restore class enrollments?: Typically this is No. If you think Yes would benefit your student's situation, please contact the SIS Team prior to completing this step.
- California State Information:
- School Entry: Enter the date the student started at your site
- Exclude this enrollment from State Reporting: NO (unless otherwise told by SIS Team)
- Exclude this enrollment from CA ADA Reporting: NO (unless otherwise told by SIS Team or Attendance Accounting)
- Enrollment Status Code: This will be automatically populated to (10) Primary enrollment. Leave this as is. If you have questions on when this enrollment status code should be changed, please call the SIS Team.
- Expected Receiver School of Attendance: Leave blank. This information is filled out when performing Transfer Out of School steps.
- Click Submit
- Please make sure to fill out/update the rest of the student pages to ensure all information is accurate in case of emergencies (i.e., student profile > student registration, student profile > addresses).
- Please make sure to place student in all needed classes and enroll in corresponding student programs. (School Enrollment > Modify Course Schedule & School Enrollment > Student Programs)
